Planning facility service across the Bay Area

Review each location, operating schedule, access rules, and travel arrangements. Set a site scope and a shared process for reporting and backup coverage.

A regional cleaning plan should account for each building, its operating schedule, and travel between sites. Use this guide to organize the service questions for locations around the Bay Area.

Why geography shapes service

When comparing sites, record their work types, access rules, service windows, and delivery arrangements. Define how the provider will cover each location and handle an absence.

Use a shared reporting format while keeping each building identifiable by address and room name. Check who receives urgent messages at each location and who covers that role when the usual contact is unavailable. Ask how delayed arrivals, denied entry, and unfinished tasks are reported. Confirm where site-specific instructions are kept and how supervisors verify that replacement staff can access them. Include the location in every handoff so a shared help desk can direct the request to the responsible site.

SSF and the Peninsula corridor

For South San Francisco and Peninsula locations, map lab, manufacturing, office, and shared areas separately. Check the actual building layout rather than assuming a standard campus model.

Agree on cleaning windows with the site team and review shared-space traffic. Where the quality system calls for it, include disinfection records and the approval process in the scope.

South Bay and Santa Clara County

For Santa Clara, Sunnyvale, and Milpitas locations, confirm whether the scope includes research, manufacturing, offices, or mixed use. Review access and material restrictions for each area.

  • For medical device work, ask which production or packaging areas have controlled-environment requirements.
  • For shared buildings, define which areas are tenant responsibilities and which belong to building management.
  • Where a provider serves different controlled environments, review the training and tool assignments for each site.

Review our service-area coverage and discuss the scope for your location before planning staffing.

East Bay: Emeryville, Berkeley, and Fremont

For Emeryville, Berkeley, and Oakland locations, identify shared access, loading arrangements, and any building management requirements. Confirm the authorized cleaning scope with the tenant and site team.

For Fremont locations, review production schedules, controlled rooms, and storage alongside office service. Use the actual process and layout to set cleaning windows.

Tri-Valley

For Pleasanton, Livermore, and Dublin sites, review travel, backup coverage, and supply arrangements with the provider. Confirm that the proposed service windows fit site access.

Where a site combines office and regulated areas, document the different tasks, training, tools, and records. Confirm who can approve work in restricted rooms.

Plan for the actual location. Tell us the site address, work areas, and operating schedule when you Request a proposal. Confirm coverage and access during the site review.
